Job Summary
Provides administrative duties under the supervision of a Licensed Practical Nurse or other clinician.
Primary Essential Duties
- Answers telephone and intercom calls, and provides information or relays messages to clients and medical staff.
- Responds to calls from hospitals and outside clinicians, and provides medication lists, recent lab values, etc.
- Interact with clients and staff, in person or on the telephone; answering inquiries; giving directions; referring inquiries to nursing and physician staff.
- Checks and responds to voicemails, WWH email, and telephone encounters daily.
- Checks and clears fax server of prescription/prior authorization requests.
- Checks and distributes Client Portal prescription requests to appropriate provider.
- Authorize drug refills, as approved by provider.
- Provide prescription information to pharmacies.
- Call to obtain prior-authorization forms from insurance companies.
- Initiate prior-authorization forms and elevate to higher level as needed (RN, MD, PA, NP)
- Efficiently and accurately documents and maintains records within the Electronic Medical Record (EMR) based on WWH guidelines and standards

- Self-motivation, flexibility and the ability to provide support to multiple providers in a fast-paced clinic environment.
- Ability to communicate in an effective and professional manner with patients and staff members.
- Excellent telephone and face to face interpersonal skills, including the ability to effectively de-escalate difficult client encounters.
- Sensitivity to all areas of diversity, including HIV status, race, ethnicity, ability, age, sexual orientation and gender identity.
- Knowledge of standard medical office/clinic procedures.
- Ability to adapt to an ever changing environment
A 37.50-hour work week is a general requirement, with a Monday through Friday schedule being typical. Some early morning and late evening coverage may be required depending on scheduling requirements.
Education and Experience Required
- Graduation from an approved Medical Assistant program required.
- Experience working with an ethnically, culturally and racially diverse work staff preferred; ability to work harmoniously with diverse groups of individuals required
Working Conditions:
Working conditions for this position are normal for an office environment. Individual may be required to work evenings and / or weekends and organization events.
Physical Demands:
- Lifting: No more than 20 lbs. and infrequently.
- Movement: Standing and sitting for long periods.
- Visual: Long periods on computer.
- Concentration: Extended periods of engagement with computer systems where concentration is key to accuracy in data entry. Intermittent periods of engagement with a telephone system to respond to inquiries where concentration is key to task performance.
- Communication: Direct and indirect communication. Written and verbal competency.
