The Customer Response Assistant position provides professional and comprehensive administrative and, facilities support for the Washington, DC and field office locations. Responsibilities include: researching and resolving problems related to facility operations; mail processing and delivery; document production; and, general maintenance and upkeep of assigned areas. This is a part-time, term-limited position.
ESSENTIAL DUTIES/RESPONSIBILTIES
Mailroom Duties/Responsibilities
• Receives all incoming deliveries, checks packing slips against contents, and records tracking information on a log.
• Delivers and/or stores incoming shipments as required upon receipt; and, ships goods and materials to external sites and field offices.
• Operates postage and other mailroom equipment; and, maintains shipping and FedEx receipt and postal records.
• Sorts and distributes incoming U.S. Mail.
Facilities/Handy Man Duties/Responsibilities
• Serves as key custodian, including access cards, laptop keys, and suite keys.
• Maintains key logs, including office keys, master key, and laptop/CPU locks and keys.
• Responsible for furniture assembly, replacing light fixtures, hanging photos and other light handyman duties.
• Coordinates and acts as liaison with building management, building engineers, and other vendors, including setting up maintenance, and other needs of office equipment, vending machines, appliances, and other kitchen equipment.
• Determines when major repairs are needed and obtains appropriate services from outside vendors on a timely basis.
• Maintains inventory of all general office and kitchen supplies, while retaining efficient logs.
• Responsible for light cleaning and upkeep of appliances.
Conference Room Duties/Responsibilities
• Confirms receipt of conference room requests via electronic calendar system.
• Prepares meeting rooms with necessary set-up and requested configurations.
• Ensures meeting rooms have the proper equipment and amenities (projectors, polycoms, screens, etc.), prior to the start of meetings in order to provide proper assistance with needs.
Document Production Duties/Responsibilities
• Provides maintenance and support of copy machines, including stocking copy locations with paper and supplies.
• Provides secondary reproduction of all inter-office copy requests by utilizing in-house equipment/copiers.
• Performs key operator functions for small copiers/duplicators located throughout assigned office(s).
SECONDARY DUTIES/RESPONSIBILTIES
• Responds to electronic help tickets, emails, and employee requests in an efficient and timely manner.
• Provides backup to the receptionist for lunch break and other emergencies.
• Periodically monitors floors for un-authorized personnel.
• Assists with the recycling/sustainable efforts of the department.
• Maintains onsite storage facilities, including facilitating the disposal of paper products, equipment, and donation of items.
• Coordinates and maintains logs for records retention/offsite storage with national vendor.
High School Diploma, with 5-7 years progressively responsible administrative, clerical work, mailroom, or central services experience; or any equivalent combination of education, training and experience which provides the following knowledge, abilities and skills:
• Considerable knowledge of modern office practices, procedures and equip¬ment.
• Excellent customer service skills.
• Experience with document production, mail postage machines, and other office equipment.
• Knowledgeable in Microsoft Office products, Word, Excel, PowerPoint and Access.
• Demonstrated ability to interact and perform in a fast paced environment, with the aptitude to remain flexible, resourceful and efficient, while exerting the highest level of professionalism.
• Ability to adjust to changing work priorities.
• Excellent verbal and written skills.
• Strong interpersonal skills for communication and collaboration with peers and internal staff.
• Ability to establish and maintain effective working relationships with others and successfully interact with people at all levels within and outside the organization.
• Familiarity with conference room request systems and calendars; and, with conference room equipment (i.e. projectors, polycoms, screens, etc.).
PHYSICAL/SENSORY DEMANDS
