Administrative Assistant

Candidates must possess excellent organizational skills, accuracy, and the ability to communicate clearly and concisely. Primary job responsibilities include, but are not limited to, composing, editing, and proofreading documents and spreadsheets for internal and external communication, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, calendar/schedule keeping, greeting clients and guests, maintaining general office areas, setting up for office functions, and generally being a helpful and positive presence in the workplace.
Minimum requirements include:
- Expert proficiency with Microsoft Excel, including editing large, complex spreadsheets with formulas, filters, subtotals, external links, protection, and macros.
- Expert proficiency with Microsoft Word, including working with and generating new document templates, styles, and maintaining consistent document formatting (fonts, header footers, headings, etc.).
- Excellent attention to detail and imperative focus on accuracy.
- Familiarity with Adobe Acrobat DC and/or Bluebeam Revu.
- Strong verbal and written communication skills while working in a diverse office environment.
- A proactive team player committed to instinctively lending a hand.
- Ability to manage time, track deadlines and deliverables, and present information to management.
- Ability to lift up to 25 pounds on an as-needed basis.
The ideal candidate should have:
- Exceptional computer skills and the ability to learn quickly.
- Basic understanding of Adobe Creative Suite.
- One year of experience in the architectural|engineering|construction industry is preferred.
- Basic understanding of construction administration procedures.
- A keen eye for typography, layout, and basic graphic design.
There is substantial opportunity for growth in this position. Full-time preferred, but part-time may be considered for exceptional candidates.
